Tshwane North TVET College is inviting applications from suitably qualified, innovative, results-oriented and self-driven professionals for the position of Assistant Director: Student Registration Services. This is a permanent opportunity for an experienced administration professional who can provide strong leadership and strategic oversight of student registration, admissions, records management, data integrity and related administrative processes.
The successful candidate will play an important role in ensuring that student registration services operate efficiently, accurately and in accordance with applicable legislation, Department of Higher Education and Training requirements, institutional policies and quality assurance standards.
ABOUT THE POSITION
The Assistant Director: Student Registration Services will be responsible for managing the overall student registration function and ensuring that registration processes are properly planned, coordinated and implemented across relevant programmes.
The role requires an individual with strong administrative leadership, excellent organisational abilities and a sound understanding of student administration within the post-school education and training environment.
The successful candidate will oversee registration systems, student records, data capturing, reporting, compliance, staff supervision and stakeholder engagement.
MINIMUM REQUIREMENTS
Applicants must meet the following minimum requirements:
- An undergraduate qualification, such as a National Diploma at NQF Level 6, in Business Administration, Public Management, Public Administration or another relevant qualification recognised by SAQA.
- A minimum of 3–5 years’ relevant experience in an administration department.
- A valid Code B driver’s licence.
- Experience within the Post-School Education and Training (PSET) sector will be an added advantage.
Candidates should also demonstrate the ability to work independently, manage competing priorities and lead administrative operations in a structured and professional environment.

Registry and Administrative Knowledge
The successful candidate should have knowledge of:

KEY RESPONSIBILITIES
1. Student Registration Management
The Assistant Director will manage the administration of the overall student registration function.
Key responsibilities will include:
- Managing the end-to-end student registration process.
- Ensuring that correct registration procedures are followed.
- Coordinating registration activities across applicable programmes.
- Developing annual registration schedules and timelines.
- Monitoring registration activities against approved plans.
- Ensuring that registration documentation is accurate and complete.
- Overseeing online and manual registration platforms.
- Identifying and resolving registration-related challenges.
- Ensuring that student information is captured accurately on the relevant information technology system.
The successful candidate will be expected to maintain a professional registration environment that supports students while protecting the integrity of institutional records.
2. Registration Policies and Procedures
The position will involve developing, reviewing and monitoring policies and procedures relating to:
- Student registration.
- Admissions.
- Scheduling.
- Student records.
- Data management.
- Registration documentation.
The Assistant Director will also provide workshops and guidance to relevant staff regarding the implementation of registration policies and procedures.
This will help ensure consistency across registration operations and improve compliance with institutional and legislative requirements.
3. Student Information and Data Management
Accurate student information is essential to the effective administration of a TVET college.
The successful candidate will therefore be responsible for:
- Managing student data capturing.
- Verifying student information.
- Maintaining student databases.
- Updating student records.
- Ensuring the completeness and accuracy of registration information.
- Maintaining information relating to students enrolled in different programmes.
- Managing graduate and alumni databases.
- Supporting accurate reporting and information analysis.

4. Student Records and Data Integrity
The Assistant Director will ensure that student records are properly maintained, secured and managed throughout their lifecycle.
Responsibilities will include:
- Ensuring the accuracy and completeness of student records.
- Maintaining the Student Information System.
- Supporting compliance with DHET EMIS reporting requirements.
- Conducting audits of student files.
- Ensuring appropriate archiving of registration records.
- Ensuring that records can be retrieved efficiently when required.

5. DHET, SETA and Regulatory Reporting
The role will include preparing and submitting accurate reports to relevant stakeholders.
The Assistant Director will be required to compile information relating to:
- Student headcounts.
- Full-Time Equivalent (FTE) enrolments.
- Registration statistics.
- Programme enrolments.
- Student records.
- Other institutional registration information.
Reports may be submitted to DHET, SETAs and other relevant stakeholders as required.
The position will therefore require excellent data-analysis and report-writing skills.
6. Compliance and Quality Assurance
The successful candidate will ensure that registration activities comply with relevant policies, regulations, standards and legislation.
This includes monitoring compliance with applicable requirements relating to:
- DHET norms and standards.
- The Skills Development Act.
- The TVET legislative framework.
- POPIA requirements.
- Student records management.
- Registration and certification processes.
- Institutional policies and procedures.
The Assistant Director will also implement and monitor quality assurance measures designed to improve the accuracy and reliability of student registration and records.
7. Stakeholder Engagement
The successful candidate will liaise with relevant regulatory and education-sector stakeholders, which may include:
- Department of Higher Education and Training (DHET).
- Quality Council for Trades and Occupations (QCTO).
- Umalusi.
- Sector Education and Training Authorities (SETAs).
- Internal college departments.

8. Student Orientation
The Assistant Director will ensure that student orientation activities are properly planned and conducted.
This includes coordinating processes that assist newly registered students in understanding:

IDEAL CANDIDATE PROFILE

Applicants who have worked within a TVET college, higher education institution, government department or another PSET environment may have an advantage, particularly where their experience includes registration, records management, student administration or institutional reporting.
