About the Opportunity

The Department of Land Reform and Rural Development is inviting suitably qualified applicants to apply for the position of Secretary within the Directorate: Property Research and Support.

This position is suited to an organised, reliable and service-oriented individual who can provide professional administrative and secretarial support to a Director and assist with the smooth day-to-day functioning of the office.

The successful candidate will be expected to handle confidential information responsibly, communicate effectively with people at different levels and ensure that administrative processes are completed accurately and efficiently.

Minimum Qualification

Applicants must have:

  • Grade 12 / National Senior Certificate

Key Responsibilities

The appointed Secretary will provide comprehensive administrative and secretarial support to the Director and the relevant unit.

1. Reception and Secretariat Support

Responsibilities will include:

  • Providing professional secretarial and receptionist support to the Director.
  • Receiving incoming telephone calls and directing them to the appropriate officials.
  • Recording appointments and important events in the Director’s diary.
  • Ensuring that the Director’s schedule is properly maintained.
  • Providing general clerical assistance to the senior manager and staff within the unit.

2. Document Preparation and Office Administration

The successful candidate will:

  • Type and prepare documents for the Director and staff.
  • Draft routine correspondence and reports.
  • Operate standard office equipment such as computers and photocopiers.
  • File and maintain documents appropriately.
  • Receive, record and distribute incoming and outgoing correspondence.
  • Collect relevant documentation required by the Director for meetings and other official activities.

3. Meetings and Events

Duties will also include:

  • Arranging meetings and official events.
  • Identifying suitable venues.
  • Inviting relevant participants.
  • Organising refreshments and other meeting requirements.
  • Preparing meeting schedules.
  • Assisting with the administrative arrangements surrounding meetings.
  • Recording basic minutes when required.

4. Travel and Financial Administration

The successful applicant may be responsible for:

  • Liaising with travel agencies to arrange official travel.
  • Checking travel arrangements and relevant documentation.
  • Processing travel and subsistence claims.
  • Processing invoices arising from activities within the Director’s office.
  • Administering telephonic accounts and related records.
  • Assisting with the procurement of standard office items such as stationery and refreshments.

5. Records and Office Support

The position will require the incumbent to:

  • Maintain appropriate filing systems.
  • Administer leave registers.
  • Keep records of incoming and outgoing documents.
  • Ensure that important documents are available when required.
  • Provide administrative support to the Director and members of the unit.
  • Assist in maintaining an organised and efficient office environment.

Policy and Procedure Compliance

The successful candidate will be expected to remain informed about relevant:

  • Public Service prescripts.
  • Departmental policies.
  • Administrative procedures.
  • Office processes.
  • Rules and regulations applicable to the position.

The incumbent will need to study relevant departmental documents and policies to ensure that procedures are correctly understood and applied.
